Payroll Associate

Southwest Service Administrators

This is a Full-time position in Phoenix, AZ posted October 16, 2020.

The Payroll Associate is responsible for assisting the Payroll Specialist in overseeing member pay files while using basic accounting functions to perform payroll preparation and processing. This role will oversee all payroll duties in the absences of the payroll specialist, under direct supervision of the Pension Manager.

Responsibilities

Customer Service

    • Provide high quality customer service to all Fund & Pension members.
    • Assist in responding to and resolving complex issues, including those escalated by members.
    • Serve as a secondary contact to clients on delivery of services.
    • Assist in resolving complex plan provision questions and issues addressed.
    • Learn and use professional excellence tools and concepts to ensure efficient and quality output/service delivery.

 

Payroll

    • Perform payroll preparation, deposit account setup/changes, submit payroll to Payroll Specialist for approval, and processing of 401(k) and other various deductions.
    • Answer Pension Team and member questions and provide detailed information
    • Maintain data relative to pension setup and changes to distributions etc.
    • Assist in resolving administrative inconsistencies with Client Accounting.
    • Maintain annual records of current and new, Defined Benefit and Defined Contribution participants for all Funds.
    • Maintain records of pension plan history, pension data, correspondence, reports, and forms.
    • Assist in initiating record keeping and retrieval methods in compliance with government regulations.
    • Assist in performing bank and general ledger reconciliations as needed.
    • Prepare and post general ledger entries for review
    • Prepare and process reimbursements for review
    • Prepare and assist in posting ACH and Share Draft files, exceptions, and returns.
    • Prepare and assist in processing levies.
    • Accumulate payroll records for Client Audits

Teamwork

    • Work cooperatively with other team members (i.e. client plan administrators; actuaries)
    • Actively participate in team meetings and training activities.
    • Provide detailed information to the pension payroll team regarding over-payments.
    • Perform additional responsibilities and projects as periodically assigned.

Education/Certification:

    • High School Diploma or equivalent

Skills/Abilities:

    • Strong mathematics/statistical/analytical skills required.
    • Knowledge of basic accounting principles
    • Minimum 40 WPM and 3,000 KPH proficiency
    • Solid expertise in MS Excel & MS Word (i.e. pivot tables and lookup functions).
    • Exceptional attention to detail.
    • Professional, client-focused approach to colleagues and assignments.
    • Strong oral and written communication skills.
    • Ability to seek out experiences that may change perspective or provide an opportunity to learn new things.
    • Strong dedication to follow-through on all tasks and assignments.
    • Ability to sit for long periods of time operating a computer keyboard.
    • Ability to organize, set priorities, work independently and complete multiple projects within established deadlines.
    • Minimal knowledge of the fundamentals of defined benefit, defined contributions and Taft Hartley plan design is a plus (Pension and Fund specific training to be provided).
