Apply now!nn nn nn nn Position Summary: nn nnThis position is responsible for providing administrative support to Senior Executives including clerical support, greeting office visiting Clients and Guests, scheduling meetings and occasionally arranging travel.

It also includes general office management responsibilities.nn nn nn nn Job Responsibilities: nn Answering and directing phone calls to appropriate Executive colleagues and taking phone messages.

Greeting Clients, Guests and directing their access to appropriate Executive colleagues.

Opening, sorting, and distributing correspondence, including email, Voicemail, and U.S.

Postal mail.

Maintain inventory and office supplies.

Anticipate office needs; evaluate new office products; place orders when necessary.

Manage and maintain executive schedules including arranging appointments and scheduling infrequent travel, hotel, client or conference meetings attendance.

Prepare Client / Prospect reports, presentations and related correspondence.

Transcribe internal IDA Scottsdale group meeting discussion minutes.

Ensure operation of office equipment, order maintenance when necessary.

Maintain knowledge by attending professional educational seminars and webcasts; review publications; establish professional networks within the industry.

Participate in societies relative to the business.

Proficient in MS Word, Excel, Outlook.

Perform CRM filtering/sorting of data and other functions.

Train clerical staff on office equipment, policies and procedures, arrange setup/login on computers.

Prepare and develop and maintain Redtail Client Relationship Management (CRM) system.

Prepare/Word process Executive responses to routine memos, letters, or correspondence.

Interact with Clients to address inquiries and problem solve.

Report any problems to Executives when they cannot be adequately resolved.

nn nn nn Experience and Education Requirements: nn College Bachelor”s degree 3+ years administrative support or executive assistance Proficient computer skills working with various office equipment, computers and experience in Microsoft Office Products nn nn nn Job Skills and Attributes: nn Excellent verbal and written communication skills Extremely Organized and keen time management skills Exceptional attention to detail and problem-solving ability.

Exceptional Client service skills Demonstrated organizational skills with the ability to set, organize and meet deadline and competing priorities.

Ability to work with all levels within a Company to promptly resolve issues or recommend improvements Ability to work independently and be a collaborative team member.
